Graduate Student Fellowship Program Guide

  • Please review the eligibility qualifications. Submit this form along with the necessary required information.
  • Make sure that you have contacted two people to serve as your references and that they submit the reference forms by the deadline of 30 May.
  • Please note that all application and reference forms have to be received at the IEEE Photonics Society Executive Office 30 May.

Application Requirements:

  • Cover letter to include name, address, email, IEEE member number, expected date of submission of the thesis, and a listing of any activities related to the Photonics Society, along with the names and contact information of two references.
  • A one-page CV, including all degrees received and dates.
  • One copy of educational transcripts.
  • A 300-word statement of purpose describing the student’s research project and interests. The statement is to include the background to the project, what the student has achieved so far and how the research will be continued and developed by the student over the rest of the project
  • A list of the student's publications with the most significant paper indicated and a 100-word description of the significance of the paper.
  • Two reference letters from individuals familiar with the student's research and educational credentials.
  • Note that additional information and submissions over the specified word count will not be forwarded to the evaluating committee.
  • If you need confirmation that your Application has been received at the Photonics Society Executive Office, please send the material using a vendor that can track the package.

The Society will not respond to individual emails concerning receipt of materials or list of winners. If you need receipt verification, please send the materials with a carrier that uses tracking. Winners will be listed on the Photonics Society portal as soon as they become available.

The following procedure outlines suggested steps to help you through the application process.

Select your references

1. Once you determine that you fulfill the requirements for the Fellowship, identify two references who will submit letters of recommendation.

2. Contact your references and ask them to submit a recommendation. Each referee must send a recommendation directly to the Photonics Society Executive Office, preferably using the online Reference form. Please note that the submittal of a reference form does not by itself constitute an application

3. Submit the application form
After you have notified your two references and given them the proper instructions, fill out the online Application Form. Save the form to attach to the email or mail with your informational packet. You may submit your application in any of the formats provided, but for the quickest processing of your application, it is suggested that you submit the information electronically with the required attachments.

OR, you can also mail your information to the Photonics Society Executive Office (ATTN: GSFP).

4. Submit one copy of your educational transcripts.
Application and reference forms must be received at the Photonics Society Executive Office by 30 May. Any forms received after this deadline or incomplete application packages will not be considered by the reviewing committee.

Guide to References:

The reviewers that evaluate the applications rely heavily on the endorsement and comments provided by the reference so take this into consideration when you complete the reference form.

You may submit your letter of recommendation using the online form, or mail or email to the Photonics Society Executive Office (PhotonicsAwards@ieee.org).
